Communication Guidelines
     At Wellbeing Psychiatry Services, we value open communication and timely responses. We use the Spruce app, a HIPAA-compliant messaging platform, for secure, non-emergency communication. Appropriate uses include medication questions, treatment plan clarifications, scheduling or administrative inquiries, and routine follow-ups.


Response Time
Messages are typically reviewed and answered within 24–72 business hours. Messages sent outside office hours (Monday–Friday, 10:00 AM – 5:00 PM) will be addressed the next business day. Please note that office communication hours may differ from scheduled appointment times, and we ask that you communicate courteously and professionally with our team.


Emergencies
Do not use Spruce for emergencies. For medical or psychiatric emergencies, call 911 or go to the nearest emergency department. For urgent mental health crises, call or text 988 (Suicide and Crisis Lifeline).



Security & Confidentiality
Spruce uses HIPAA-compliant encryption to protect your health information. Please avoid sending sensitive information via unencrypted email or text.

Medication Refill/ Medication Changes Policy

To ensure your safety and the effectiveness of your treatment, medication refills and medication changes are only provided during scheduled appointments. This allows your provider to:

  • Review your current symptoms and progress
  • Monitor for side effects and safety concerns
  • Adjust your medication as needed

Important Notes:

  • Refills and medications changes will not be provided without a scheduled appointment.
  • Please plan ahead and book your follow-up visits before running out of medication.
  •  In rare circumstances, such as a true emergency, a short supply of medication may be provided at the provider’s discretion. However, this cannot be guaranteed, and medication may be adjusted if appointments are not available within an appropriate time frame.

We understand that emergencies and unexpected situations may arise. However, in order to provide the best care to all of our patients and respect everyone’s time, our practice has the following policy:

  • Late Cancellation: Any appointment canceled with less than 24 hours’ notice will be subject to a $75-$150 late cancellation fee.
  • No-Show: I

  • No-Show: If you do not attend your scheduled appointment and do not provide notice, a $75-$150 no-show fee will be charged.
  • Repeated Cancellations/No-Shows: Frequent late cancellations or no-shows may result in dismissal from the practice.
  • Exceptions: Consideration may be given for true emergencies at the provider’s discretion.

To ensure safe and compliant prescribing, Wellbeing Psychiatry Services follows strict guidelines for medications such as Adderall, Vyvanse, Ritalin, Xanax, Klonopin, and Ativan.  


-Patients must adhere to safe use, storage, refill, and monitoring requirements. 

- All controlled medications must be prescribed by this provider and filled at 

To ensure safe and compliant prescribing, Wellbeing Psychiatry Services follows strict guidelines for medications such as Adderall, Vyvanse, Ritalin, Xanax, Klonopin, and Ativan.  


-Patients must adhere to safe use, storage, refill, and monitoring requirements. 

- All controlled medications must be prescribed by this provider and filled at one designated pharmacy unless otherwise approved. 

-  Due to nationwide stimulant shortages, refills may be delayed. Patients should contact their pharmacy first and may be required to try an alternative medication if unavailable. One transfer to another pharmacy may be permitted per occurrence. 

- Refills are only provided during scheduled appointments. Lost or stolen medications will not be replaced. 

- Random urine drug screens may be required. Refusal, unexpected results, or misuse may result in modification or discontinuation of medication. 

- Consistent follow-ups are required. Missed or repeated cancellations may result in discontinuation of controlled prescriptions. 

- 

Early refills are not permitted except under documented medical necessity at the provider’s discretion.
